Barlows is offering an exciting opportunity for a motivated and organised individual to join our Fire & Security team as a Project Management Administrator Apprentice.
This is not just a typical admin role. You will gain hands-on experience supporting live projects from initial enquiry through to completion, learning how projects are planned, scheduled, costed, and delivered within a fast-moving technical environment.
Working closely with experienced project managers, engineers, and clients, you’ll develop valuable skills in project coordination, business administration, customer communication, and commercial awareness — building strong foundations for a long-term career in project management, operations, or technical services.
Alongside practical experience, you will complete a Level 3 Business Administrator Apprenticeship qualification.
What you’ll be doing
Supporting Live Projects
- Assist project managers with planning, scheduling and coordinating works
• Track project progress and help ensure deadlines are met
• Allocate jobs and ensure engineers have the correct information
• Monitor project activity from enquiry through to completion
Organising Information & Documentation
- Maintain project files, trackers, and spreadsheets
• Upload and organise drawings, reports, and compliance documents
• Ensure project information is accurate and up to date
Quotes, Sales & Commercial Support
- Log incoming enquiries and sales opportunities
• Prepare and track quotations
• Follow up outstanding quotes
• Support the team with basic cost tracking and purchase orders
Customer & Engineer Coordination
- Arrange appointments, site visits, and access requirements
• Provide updates to customers where required
• Support scheduling of engineers and upcoming works
• Ensure job packs contain the correct information
Compliance & Quality Checks
- Review paperwork such as risk assessments and project documentation
• Support health & safety and compliance administration
• Assist with maintaining organised and audit-ready project records
General Business Administration
- Respond to emails and calls professionally
• Support meeting preparation and internal reporting
• Assist with stock tracking and materials coordination
• Provide day-to-day support to the wider team
What you’ll gain
